Clinical Tools Overview

Professional speech-language pathology tools

Overview

Cocovox provides a comprehensive suite of clinical tools designed specifically for speech-language pathologists. Whether you work in schools, private practice, or clinical settings, these tools streamline your workflow from session planning through documentation and reporting.

Every clinical feature is built with input from practicing SLPs to ensure it fits naturally into professional workflows and meets the documentation standards your setting requires.

Key Tools

Clinical Sessions

Conduct structured therapy sessions with AI-assisted data collection. Score responses in real time, track prompting hierarchies, and let Cocovox handle the documentation so you can focus on your client. Learn more about clinical sessions.

IEP Goal Tracking

Monitor Individualized Education Program goals with automatic progress updates. Exercise results and session data feed directly into goal tracking, eliminating manual data entry and giving you an always-current view of each client's progress. Learn more about IEP tracking.

Probe Sessions

Currently unavailable: Probe sessions are temporarily unavailable — the cards cannot yet score a probe accurately, so a probe would not produce usable evidence.

Probe sessions are designed to measure articulation, language, and fluency targets under controlled conditions and compare performance against a baseline over time. Learn more about probe sessions.

Clinical Reports

Generate professional documentation including session summaries and IEP progress reports. Export to PDF, CSV, or print-friendly formats for sharing with families and teams. Learn more about clinical reports.

Who It's For

  • Licensed SLPs - Full access to clinical sessions, IEP tracking, probes, and reporting tools for your caseload
  • Speech Therapy Assistants (SLPAs) - Run sessions and collect data under supervising SLP oversight with role-appropriate access controls

Getting Started

1

Navigate to the Clinical section from your dashboard sidebar. If you do not see it, ensure your account has the SLP or clinical role enabled in your profile settings.

2

Add clients to your caseload. You can import from your school's roster or add clients manually with their relevant demographic and clinical information.

3

Set up IEP goals for each client. You can enter goals manually or use Cocovox's goal templates aligned to common articulation, language, and fluency targets.

4

Start your first clinical session. Select a client, choose target goals, and begin collecting data with real-time scoring.

HIPAA & Privacy

Below is how Cocovox handles clinical data today, described as it is actually built rather than as a compliance posture, including where the protections stop. Check it against what your own setting requires.

  • Data encryption - Traffic between your browser and Cocovox travels over TLS. Clinical free text is encrypted at rest as it is written, column by column, using Fernet (AES-128-CBC with HMAC-SHA256): IEP goal text and progress notes, SLP session targets, session notes and next-session plans, and behavior-plan targets, definitions, and observation notes. Structured measurement fields - counts, durations, dates, intensity ratings, and setting labels - are stored unencrypted.
  • Access controls - Role-based permissions gate the clinical tools, and clinical records are scoped to your caseload on top of that: you reach a student's record only through an active class enrollment or an SLP service mandate. Authoring behavior-plan goals is narrower still - BCBA, behavior specialist, school psychologist, and admin roles only.
  • Audit trail - Named actions write an audit record: IEP goal changes, SLP service-mandate changes, consent grants and withdrawals, role changes, and roster and grade access. Auditing is added endpoint by endpoint rather than globally, so it is not universal - behavior observations and behavior-plan goals are not audited today.
  • FERPA compliance - For school-based SLPs, student contact details are left out of class rosters unless explicitly requested and directory opt-outs are honored, roster and grade access through the class and assignment tools is written to a FERPA access log, and educational records - IEP goals, SLP session logs, screening assessments - carry a seven-year retention floor and are never deleted by an automated job.
  • Data retention - Cocovox sets retention periods per data category, and they are the same for every customer: they are not configurable by you or your organization, and there is no setting that changes them. Clinical categories carry a seven-year period, and no scheduled job deletes at the end of it. Deleting an account does not remove clinical records either.
Before you store PHI: Cocovox is not a covered entity under HIPAA and does not currently offer a Business Associate Agreement. Nothing on this page should be read as a claim of conformance with HIPAA - it describes the controls that exist so you can evaluate them yourself. If you or your district are a covered entity, talk to your compliance officer before putting protected health information into Cocovox or any other cloud-based system.
School-based SLPs: Cocovox's clinical tools integrate with the classroom features, so teachers and SLPs can coordinate on shared students without duplicating data entry. See Classroom Overview for details.
